Triage your Gmail inbox without opening the mailbox

Почта Gmail и Google Workspace по паролю приложения: письма, папки, отправка и пересылка

## How the agent works with Gmail

The agent connects to the Gmail mailbox over IMAP and SMTP. It reads the folder list first, then works with the messages themselves: subject, sender, date, text and attachments. It finds a message by sender or subject and opens the attached invoice, act or contract to read what is inside rather than retell the file name.

What gets connected is not the Google Account password but a 16-character app password. It is created on the App passwords page once 2-Step Verification is on. One pair of address and password serves both reading and sending. Access is revoked by deleting that password, without changing the main one.

Gmail folders are labels: one message can sit under several, and the names of the system folders depend on the account language. So the agent takes folder names from the mailbox itself rather than guessing them. A deleted message goes to the Gmail trash, and Gmail saves a sent message to Sent on its own.

Sending is capped by Google's daily limits: about 500 recipients a day for a personal account and up to 2,000 messages for Google Workspace, with a message no larger than 25 MB. The agent plans a mailing around them and says so directly when the mailbox or a message hits a limit.

## Integration scenarios

### Morning inbox triage
The agent goes through unread messages and shows which ones are waiting for a reply, with subject, sender and date, without opening Gmail.

### Invoices and contracts out of attachments
The agent finds a message by sender or subject, downloads the attachment (an invoice, an act or a contract) and reads what it says.

### Replying in a thread
The agent writes a reply in the right thread, forwards a message to a colleague or sends a new email from your Gmail address.

### Tidy labels
The agent sorts messages under labels, marks the handled ones as read and moves the clutter to the trash.

### A client's correspondence
The agent gathers the messages with one contact over a period, lines them up by date and shows what was agreed and what was left unanswered.

### Who fills the inbox
The agent counts a month of mail by sender and shows who writes the most and how much of it was never opened.

## How to connect

**Before you connect**

- The full Gmail or Google Workspace address with 2-Step Verification turned on.
- The agent reads every folder and sends mail on your behalf.

### Turn on 2-Step Verification
In the Google Account you are connecting, open Security and turn on 2-Step Verification. App passwords are unavailable without it.

### Open App passwords
Go to myaccount.google.com/apppasswords, enter any name and click Create. Google shows the 16-character password once.

### Paste the password with the full address
Paste the password into the connection together with the full mailbox address. The main Google Account password does not work here.

### Google Workspace: ask the administrator
In a Google Workspace account the administrator may turn app passwords off. If the page does not offer them, ask the administrator to allow them.

## FAQ

### How do I connect Gmail?
With the mailbox address and an app password. Turn on 2-Step Verification in your Google Account, open myaccount.google.com/apppasswords, create a password and paste it into the connection.

### Why doesn't my regular Google password work?
Google does not let mail programs in with the main password. They need a separate 16-character app password, which can be deleted at any time.

### What if the App passwords page does not open?
Check that 2-Step Verification is on. In a Google Workspace account the administrator may turn app passwords off, and then the administrator turns them back on.

### How much mail can the agent send?
As much as Google allows: about 500 recipients a day for a personal account, up to 2,000 messages a day and 100 recipients per message for Google Workspace, with messages up to 25 MB.
